Freelance Design Payment Policy (Including Deposit Requirement)

1. Purpose
This Payment Policy outlines the terms and conditions for payments related to freelance design services (including but not limited to graphic design, UI/UX design, branding, web design, illustrations, and related deliverables). The policy ensures clarity, protects both parties, and establishes a fair and professional working relationship.

2. General Payment Terms

All prices are quoted in [Currency, e.g., USD / EUR / HKD] and are exclusive of applicable taxes unless otherwise stated.
Payment is required as per the agreed milestones in the project proposal or contract.
Design work will only commence or proceed to the next stage after receipt of the agreed payment.
Preferred payment methods: PayPal, Stripe. Any bank or transaction fees are the responsibility of the client.

3. Deposit (Advance Payment) Requirement
A non-refundable deposit of 50% of the total project fee is required before any design work begins.
Reasons for deposit:

Reserves dedicated time in the schedule.
Covers initial research, concept development, and resource allocation.
Protects against project cancellation after significant work has started.

The deposit is applied toward the final project total. For projects under a certain value (e.g., $500 or equivalent), the full amount may be required upfront.

4. Milestone Payment Schedule
For most design projects, payments are divided as follows:

Custom milestone schedules can be negotiated for larger or long-term projects.

5. Invoicing

A detailed invoice will be issued for each payment milestone.
Invoices are due within 7 calendar days of issuance unless otherwise agreed.
Payment must be made in full before moving to the next phase.

6. Revisions and Additional Work

The number of revisions included will be clearly stated in the project proposal.
Additional revisions or scope changes beyond the agreement will be billed separately at the hourly rate or a mutually agreed flat fee.
A new invoice will be issued for any extra work.

7. Late Payments

Late payments will incur a late fee of 1.5% per week (or the maximum allowed by law).
Work on the project may be paused until outstanding payments are cleared.
Persistent late payments may result in termination of the project and retention of all work completed to date.

8. Project Cancellation & Refunds

Before deposit payment: No obligation on either side.
After deposit payment: The deposit is non-refundable. Any work completed beyond the deposit value will be invoiced.
If the client cancels mid-project, they are responsible for payment of all work completed up to the cancellation date.
Refunds are only considered in cases of significant failure to deliver as per the agreed scope (subject to mutual discussion).

9. Ownership and File Release

Full ownership and source files are transferred only after final payment is received and cleared.
Until then, the client receives preview/watermarked or low-resolution versions for review.

10. Force Majeure & Communication
Both parties agree to communicate promptly regarding any issues that may affect the timeline or payment. Delays caused by the client (e.g., delayed feedback) may require adjustment of the payment schedule.

Acceptance
By proceeding with the project and making the initial deposit, the client acknowledges and agrees to this Payment Policy.
